Employment certificate template: wording and verification checklist
An employment certificate records a person’s role and dates of employment. A useful template makes those facts easy to check. It also identifies who issued the document and when the information was confirmed.
This guide provides five wording examples, a reusable document layout, and a review checklist for HR teams. Start with the receiving organization’s requirements, then adapt the wording to the employer’s records and approved process.
What to include in an employment certificate
Use the following layout as a starting point. Add a field only when it is needed for the request and appropriate to disclose.
- Employer: organization name and an approved contact route.
- Employee: the name used in the employment record.
- Employment facts: job title, start date, and end date or current status as of the issue date.
- Issue date: the date on which the employer confirmed the information.
- Authorization: the name, role, and signature or approved authorization method of the responsible representative.
- Verification route: an employer contact or a credential link, where the receiving organization accepts it.
A confirmation of employment, a reference letter, and a recognition award serve different purposes. Keep opinions about performance out of a factual confirmation unless the request and the employer’s policy call for them. Do not substitute a service award or training certificate for a requested employment record.
Five employment certificate wording examples
These examples are editable starting points, not completed documents. Replace every bracketed field, remove statements you cannot confirm, and have the authorized reviewer check the final version.
1. Currently employed
This is to confirm that [Employee name] has been employed by [Company name] as [Job title] since [Start date]. As of [Issue date], our records show that [Employee name] is employed on a [full-time / part-time] basis under a [permanent / fixed-term] arrangement.
Select only the terms supported by the record. An issue date makes clear when the current-status statement was checked.
2. Former employee
This is to confirm that [Employee name] was employed by [Company name] as [Job title] from [Start date] to [End date]. This certificate was issued on [Issue date] by [Authorized representative and role].
If the person held several roles, list the relevant roles and their dates. Include a reason for leaving only if it is required, verified, and approved for disclosure.
3. Contractor engagement
[Company name] confirms that [Name] provided [Services] under [Agreement reference] from [Start date] to [End date]. This statement records the engagement described in our records as of [Issue date].
Use an engagement confirmation for this purpose. Do not add a blanket statement about tax, benefits, or legal employment classification based on a template alone.
4. Completed internship
This is to confirm that [Intern name] completed an internship with [Company name] in [Department] from [Start date] to [End date]. The recorded activities included [Projects or responsibilities]. This certificate was issued on [Issue date].
Describe recorded activities without implying an assessment or qualification that the program did not provide. For a separate learning award, see our guide to certification in learning programs.
5. Probation completion
[Company name] confirms that [Employee name] completed the probationary period for the role of [Job title] on [Completion date]. The employment arrangement recorded as of [Issue date] is [Verified current arrangement].
Copy the confirmed arrangement from the employment record. Do not automatically replace it with “permanent” because the probation period ended.
A worked review example
Suppose a former employee requests confirmation of a role held between two dates. HR finds that the proposed certificate says “currently employed” and includes an old job title. The reviewer should correct both fields before approving the document, even if its digital signature would be valid.
- Compare the name, role, and dates with the employer’s record.
- Replace the current-status sentence with the former-employee wording.
- Confirm the receiving organization’s required format and contact details.
- Have the authorized representative approve the corrected document.
- Record the version issued and the route for questions or corrections.
The review checks the facts. A technical verification check serves a different purpose.
What digital verification can establish
A digitally signed credential can help a verifier check its issuer and whether it has been altered. The W3C Verifiable Credentials Data Model distinguishes these checks from deciding whether the claims are true and suitable for the verifier’s purpose. A valid credential does not, by itself, prove that the employer entered the correct role or dates.
Do not assume that every PDF, QR code, or online certificate implements this standard. Check the system’s actual verification method. A link can make an issuer’s record easier to reach, but the receiving organization may still request direct confirmation or a different document. See what a digital credential is for the underlying concepts.
Sharing the document
Decide which facts the recipient needs before choosing a public page, a private document, or a printed copy. Review names, employment dates, contact details, and any salary information before sharing. A public profile link is appropriate only when the information is intended for public use.
Keep an approved employer contact route available for questions. Do not promise that a verification link removes every background check, guarantees acceptance, or leads to a faster job offer.
Frequently asked questions
Is an employment certificate the same as an employment letter?
The labels can overlap. Check the requested information and format. This guide uses employment certificate to mean a factual confirmation of a role, employment dates, and status as of a stated date.
Who signs an employment certificate?
Use the representative authorized by the employer to confirm the information. Follow the employer’s approval process and any requirements supplied by the receiving organization.
Can an employment certificate be issued digitally?
It can be prepared digitally, but confirm whether the receiving organization accepts that format and verification method. A downloadable PDF is not automatically a cryptographically verifiable credential.
How long should an employment certificate be valid?
Check the document’s stated validity and the receiving organization’s date requirements. A historical record and a confirmation of current employment answer different questions. Recheck current status before issuing an updated confirmation.
What is the format of an employment certificate?
A practical starting layout includes the employer, employee, role, employment dates, issue date, and authorized representative. Add the verification route and any other requested fields after review.
How do you write an employment certificate?
Choose the wording that matches the record, replace the placeholders, check the receiving organization’s requirements, and obtain approval from the authorized representative. Keep the final document limited to verified and appropriate facts.
